UC's deadline is close and you still don't have a preceptor
With little time left, sequence matters more than speed. At UC the slow parts are the Educational Affiliation Agreement and the site's onboarding, not the preceptor's yes. Favor sites that already have a UC agreement or will sign UC's standard one, get the Preceptor Application in, and tell your Clinical Site Coordinator the date you're working to.

Your real clock at UC
UC's clock starts long before the term does. UC sets three packet dates a year: the last Friday of May covers fall, the first Friday of October covers spring, and the first Friday of February covers summer. The Preceptor Guide calls that roughly three months ahead. For a spring 2027 practicum, that's Friday, October 2, 2026.
Once the packet is in, UC vets the preceptor and confirms approval with a welcome email and the preceptor appearing in eMedley. The midwifery FAQ expects that three to six weeks ahead of the term; the FNP FAQ says four to six. The agreement runs in parallel, and no hours count until the site is cleared and the semester has begun.

Whatever your row, email your CSC with your track, term and the status of each lead. UC routes all placement communication through that coordinator, and a full picture lets them tell you honestly what's still possible.
Start the slowest pieces first
A clinician's yes is rarely what holds a UC placement up. These pieces take longer, so start them the day someone agrees.
- The agreement. On the first call, ask whether the site already has an agreement with UC or will sign UC's standard one. The Preceptor Application asks the same thing, and an active agreement is the biggest time saver there is. More on the affiliation agreement.
- Site onboarding. Many sites run their own modules, background checks and health documents through platforms such as ACEMAPP or myClinicalExchange. Find out what theirs involves now, not in week 1.
- Your Critical Requirements. Keep every CastleBranch item current so your own file is never the reason for a delay.
- State forms. For California, North Dakota and Wyoming, the extra state forms go by email to constateauth@uc.edu, and UC wants them a week or more before the semester starts.
- Your RN license. It has to be valid in the state where you'll train, which matters when the quickest option sits across a state line.
Fast yeses that turn into UC noes
Under deadline pressure, any agreement feels like progress. These are the ones that come back as a refusal, or as hours UC won't count.
- A preceptor who misses a UC basic: under a year in the role, licensed in another state, a relative or your direct supervisor.
- A physician assistant in Ohio or Indiana, neither of which is on UC's list of states that accept PA preceptors.
- An AGPCNP placement at your own employer, which UC's AGPC guide rules out.
- Walking into one of the eight systems UC coordinates centrally, such as Cleveland Clinic or Norton, without clearing it with your CSC.
- Logging time before the agreement is in effect or outside semester dates. UC's malpractice coverage applies only within the semester.
A preceptor who agrees today but can't pass UC's review costs you the same weeks as a refusal, and you learn it later.
When this term won't work
Sometimes the window is simply too short. If your site isn't secured by the end of week 2, UC's track requirements say to leave the course by the drop date, while the refund is still 100%; if you stay on the roster without a site, UC warns of administrative withdrawal or a failing grade. Questions UC students ask
Can I submit my UC Preceptor Application after the deadline?
Ask your Clinical Site Coordinator at once rather than assuming either way. UC publishes the packet deadlines, and its Clinical Planning page says it can't commit to having agreements in place for late packets. A late file for a site that already holds an active UC agreement has one less step to clear than one needing a new contract.
How long does UC take to approve a preceptor?
UC doesn't publish a processing time, but its FAQs say confirmation comes about three to six weeks (midwifery) or four to six weeks (FNP) before the term. Approval arrives as a welcome email, with your preceptor showing up in eMedley. Read that email closely, because it can list extra requirements the site has.
Can I start clinical hours while my paperwork is being processed?
No. UC doesn't allow clinical hours at a site without a site agreement, and hours count only within semester dates because that's when UC's malpractice coverage applies. Wait for your coordinator's clearance and the welcome email before your first clinical day, however keen the preceptor is to begin.
What does secured mean for UC's week-2 deadline?
UC's AGPC guide spells it out: all paperwork processed and CSC clearance granted. A spoken yes from a preceptor isn't enough. Other tracks use the same end-of-week-2 cutoff, so treat your coordinator's clearance, not agreement in principle, as the finish line when you plan backward.
Is a large Cincinnati health system a quick option?
Rarely on a short timeline. Cincinnati Children's wants an active Ohio RN license from NP students plus its APRN Clinical Placement Interest Form, and applications usually open three to four months before the semester, with decisions two to three months out.
