UC preceptor packet deadlines: three Fridays, and what rides on them
UC wants your preceptor packet by the last Friday in May for a fall clinical course, the first Friday in October for spring, and the first Friday in February for summer. The dates sit about three months ahead of each term because vetting, the affiliation agreement and site onboarding all have to fit behind them, and UC warns it can't commit to having an agreement ready when a packet comes in late.

The three dates
UC's Clinical Planning page ties each deadline to the term in which your clinical course runs, not the term you're sitting in when you send it. A fall practicum means a May deadline, while you are still finishing spring coursework.

The third column is our count of the calendar against UC's rule, not a date UC has published, and the start dates come from UC Online's program pages. Confirm the exact day with your CSC. As of this page's update in late September 2026, the spring 2027 date is only days away, so anyone aiming for January should be talking to their coordinator now.
Why the packet is due so early
Three things have to happen between your packet and your first clinical day, and each one takes weeks. Your CSC vets the preceptor. The site needs an Educational Affiliation Agreement in effect, which UC says usually takes at least six weeks on its standard form and can stretch to six months or more when a site wants its own contract. Then the site runs its own onboarding.
Approval itself arrives close to the term. UC's nurse-midwifery FAQ says the welcome email and eMedley listing come about three to six weeks before the term; the FNP version gives a four-to-six-week window. Counting back from a January 11 start, that leaves roughly two months after the October deadline for vetting and paperwork.
UC's 2022 expectations document also says coordinators work through files in the order they arrive. Sending weeks early puts your file ahead of everything that lands on the last day.
Two versions of the rule
UC states the deadline two ways. The Clinical Planning page gives the fixed Fridays above. The May 2026 Preceptor Guide, written for preceptors, says applications go to the Clinical Site Coordinator three months before the term starts.
Usually the two land near each other, but not always in the same order. For spring and summer the Friday comes first: three months before January 11 is around October 11, and before May 10 is around February 10. For fall 2027 it flips, because three months before August 23 is around May 23, a few days ahead of the May 28 Friday.
Treat whichever date is earlier as your working deadline, and ask your CSC which one UC applies to your track. If your preceptor has read the Preceptor Guide, they may believe there's more time than there is, so give them the Friday date yourself.
Other dates that travel with the packet
- State-specific CastleBranch package. UC's CastleBranch instructions say a second, state-specific package code is ordered by the preceptor packet deadline when your clinical state calls for one. UC's Critical Requirements page currently says package purchases are on hold, so ask how that applies to you.
- California, North Dakota and Wyoming forms. These run on their own clock: at least one week before the semester, sent to constateauth@uc.edu, never inside the packet.
- The welcome email. Expect it roughly three to six or four to six weeks before the term, depending on which FAQ covers your track. Its arrival starts your site onboarding.
- The week-2 cutoff. Everything above has to be finished, and the site secured, by the time week 2 of the term ends.
If your packet will be late
UC doesn't publish a grace period. What it does say is that it cannot promise an agreement for a packet received after the deadline. A late file squeezes every stage behind it, from vetting through the agreement and onboarding to the end-of-week-2 point by which your site must be secured.
If you're going to miss the date, tell your CSC before it passes rather than after. A site with an active UC agreement already, or one willing to sign UC's standard form unchanged, is much easier to rescue than one that insists on its own contract.

The deadline is for a complete packet in UC's inbox, not for a preceptor's promise. A verbal yes on deadline day, with no form sent, doesn't meet it.
Working back from your deadline
UC sets the deadline; the schedule below is our suggestion for meeting it with room to spare.
- Two terms out. Start networking with UC's outreach scripts and check the person against UC's preceptor requirements.
- About a month before the deadline. Have a preceptor's commitment, and learn whether the site already has a UC agreement, who its administrative contact is and which onboarding platform it uses.
- Two weeks before. Complete your student section of the Preceptor Application and hand it over.
- Deadline week. Confirm your preceptor sent it to the address your CSC named, and check that it was received.
- After submission. Watch for the welcome email, then start the site's onboarding.

Questions UC students ask
Does the packet deadline apply to every UC track?
The Clinical Planning page sets the three Fridays for graduate clinical placements. Nurse anesthesia works differently, since UC schedules those students at sites it lists. The RN-to-BSN NBSN4081 syllabus expects the direct-care experience secured, with an affiliation agreement application in, during Module 1. UC's public pages don't tie DNP project practicums to the Fridays, so ask your faculty or CSC.
What if my preceptor changes after the deadline has passed?
Tell your CSC as soon as you know. The replacement needs a Preceptor Application of their own, and a new site may need an agreement and onboarding. UC publishes no late-packet exception, so how much can be done depends on how close the term is and whether the new site already has an agreement with UC.
Is the packet deadline the same as the CastleBranch deadline?
No. The packet deadline is about your preceptor. Critical Requirements in CastleBranch have their own order and document deadlines, set by the Office of Clinical Placement and Operations, and missing those keeps you out of clinical hours even with an approved preceptor. Should I send the packet before every detail is ready?
Ask your CSC first. UC's form expects every field, and a CV is optional only when the form is complete. If one item, such as the site's administrative contact, is still pending near the deadline, tell your coordinator before the date passes so they can tell you how to handle it, rather than letting the deadline go by in silence.
